Business Office Assistant/Medical Records Custodian – Clinic

Direct and supervise work activities of clerical staff. Establish work schedules and assignments for staff, according to workload, space and equipment. Maintain awareness of advances in data processing technology, health insurance changes, and financing options. Develop and maintain computerized record management systems to store and process data such as personnel activities and information, and to produce reports. Prepare activity reports to inform management of the status and implementation plans of programs, services and quality initiatives.  Input data, such as: file numbers, new or updated information, or document information codes into computer systems to support document and information retrieval.  Perform general office activities, such as: typing, answering telephones, operating office machines, processing mail, or securing confidential materials. Complete general financial activities, such as: processing accounts payable, reviewing invoices, collecting cash payments, or issuing receipts. Assist patients with insurance and/or billing issues. Keep financial records or perform other bookkeeping duties, such as: handling credit or collections or mailing monthly statements to patients. Ensures medical records are assembled in standard order and are accurate and complete. Oversees that paperwork and reports are filed in patient charts, ensuring they are completed in an accurate and timely manner. Responsible for safeguarding patient records and ensuring compliance with HIPAA standards. Responds to requests for patient records, both within the facility and by external sources, retrieving them and transmitting them appropriately. Knowledge of HIPAA medical privacy regulations and practices.

High School Diploma or equivalent
Advanced computer skills

Previous supervisory experience preferred
Working knowledge of routine office procedures and equipment
Organized and detail oriented
Ability to maintain confidentiality
